A. To enable distribution companies to work together and book out areas that they cannot cover easily and accept work from other distributors that they can cover easily.

Password / logging in problems

* I have lost my password / username - how do I get back into the system?

* I have asked for a reminder of username and password but the e-mail address isn't recognised.

A. Go to the membership log in page (click here) and follow the link for lost password - enter your e-mail address and if it matches the one you used to join then a new password (and your user name) will be e-mailed to you.

A. Try again, making sure that you are using the correct case for the user name and password You will have been e-mailed with your user name and password when you set the account up - please check the e-mail for reference in case a colleague has changed the password. If you cannot find this, go to the membership log in page (click here) and follow the link for lost password - enter your e-mail address and if it matches the one you used to join then a new password (and your user name) will be e-mailed to you.

Q. What can be distributed using the system?

A. Any item deemed a leaflet, newspaper, magazine or sample that would pass
the Advertising Standards Authority.

Q. Are there definitions of leaflets, newsletters, newspapers and small samples for the site?

A. For the purposes of this site, the following definitions are used:

Definition of a leaflet - single sheet up to A4.
Definition of a newsletter - maximum 16pp A4 item.
Defection of a newspaper - maximum 60pp tabloid.
Definition of a small sample - miniature sample of product, suitably designed as a letterbox drop item.

Our prices that companies charge for distribution are based upon these definitions. Larger items may incur a surcharge or be refused by distribution companies if unreasonably outside these definitions. Q. If a company says that it has one of these to distribute and I accept on this basis but it does not fit into the definition, are we credited the commission if we don't do the job?

A. Yes, provided you contact us immediately and we are satisfied that there was a breach of rules we will credit you for the commission element of the transaction. See credit form - link here.

Q. If I accept a job on the system am I obligated to do it?

A. If you accept work, both you and the company that are in the transaction will be charged a small commission (see our charges here ) for the introduction. If you do not carry out the work for the other company then there should be no charges between you. If you consistently accept work and then do not carry it out individual companies may choose not to work with you again, they may well ask you for their intro fee back and for persistent reoccurrences, we may actually disable your account.

Q. If I enter work onto the system am I obliged to accept offers?

A. No. only if offers are made for the work or distribution capacity and you then accept them are there binding charges.

Q. If I make and offer to distribute work or for my work to be distributed is that binding?

A. It is binding as soon as your offer has been accepted by the other company / companies in the process. If you cancel your offer before they accept it, there will not be any charges.

Q. If I accept an offer distribute work or I accept offers to distribute my work is this binding?

A. As soon as you accept an offer to distribute work or to take work for your distribution capacity the commission element is binding. Exactly how you deal between the other companies involved is up to you if you decide you cannot carry out the work. Please see details under the misuse of the site section in the FAQ.

Q. What if two companies try to accept the same job?

A. It is not impossible for two or more companies to accept the same job - it will work on the first to reply to the work offered.

Q. Will any companies get priority over others to receive work?

A. No - the system is designed to match work by postcode and date. If more than one company match then they will all be offered the work and the first to reply will get the first opportunity. However, more active users may qualify for retrospective discounts for volume usage. In addition, more active users will actively be aided in trading on the system, thus increasing their throughput on the system.

Q. What if no company has a matching postcode and date for my work offer?

A. The system will e-mail all companies that have listed the postcodes on the list of areas covered to see if any of them are interested in accepting the work. Our staff will generally identify any areas where there is excess capacity and be actively finding new distributors or work for that area.

Q. What if a company only places work on the system or alternatively only takes work from the system, will they still be allowed to use the website?

A. Yes - however, the website will only work if people use the system properly and it is up to all companies to try to balance the amount of work put on and taken off the system.

In addition, companies who actively put work on the system should find that they receive more distribution work over time, as their work will actively encourage new companies to join and add their spare work.

Q. What if I find a company from outside the website to take my work?

A. To avoid receiving offers to handle this work we would ask you to remove it from the website as soon as possible.

Q. How do I make sure my distribution area is correct?

A. Please make sure you enter postcodes you cover to gain most relevant leads. These go under account information section and enable the system to find work for you. Addition of postcodes that you have no intention to distribute in is misleading for your results and is considered as misuse of the system and as such may result in disabling or closure of your account.

Q. Why should I be an active user?

A. Those who enter work of their own will be the ones who benefit the most as the system will create more opportunities for them. It is important therefore to actively enter your work on the system as this is the work that is promoted.

Users in neighbouring areas, who are not currently using the system will start to do so when they see you are using it thus propagating more work for you in your area as they put work on that overlaps with your distribution capacity.

Once they start to use the system you will benefit from work which overlaps with your distribution capacity.

Excluding companies you don't wish to deal with

* The system is anonymous until I accept offers, how do I make sure that I don't deal with certain companies?
* Can I specify whether I want to deal with DMA members only?

Q. The system is anonymous until I accept offers, how do I make sure that I don't deal with certain companies?

A. Under your main account page, you can specify companies who you don't wish to deal with. These will then be excluded from any work offered by you. They will not be able to see or make offers on your work either.

Q. Can I specify whether I want to deal with DMA members only?

A. Yes. Under your main account page, you can specify companies who you don't wish to deal with and this includes a button to also exclude all non DMA members if you would like this. All companies are marked next to them whether they say they belong to the DMA or not. You can re select any non DMA members if you have a preference to use them.

Q. If I do not wish to give work out to a particular company, can I prevent them from viewing my work, areas and dates (and will I be able to view their work, areas and dates)?

A. Yes - only one company has to exercise the right not to deal with another for the system to prevent either companies details being viewed. You can actively block the company or companies you don't want to use, under your preferred list of companies. Be careful not to block too many though as you wont get to distribute their work either!

Q. I have been invoiced for work but not received notification of the jobs

A. Notification is on the second page of the e-mailed invoice. Notification is also sent to your sales account. Please check your sales and admin e-mail address contacts under your 'account details' option when you are logged in.

A. Please check your sales and admin e-mail address contacts under your 'account details' option when you are logged in. If you wish us to send a repeat invoice please reply to the sales notification e-mail with a subject of 'invoice please' and a copy will be sent shortly or call making sure you have your sales reference e-mail to hand.

Q. I am getting many small invoices on the system and would like to pay them at once.

A. Please feel free to remit several invoices under one cheque but please make a note of invoice numbers when you do so. We send statements of account at the end of every month with payment due on the 15th of the month following the invoice date.

If you would rather pay a fixed fee a month for convenience we can arrange a credited account where you pay a set fee per month up front based upon your account activity history. We will balance the accounts and adjust the monthly total over time as appropriate, therefore you will never run the risk of being overdue and having your account disabled.

Q. If a company accepts my work and later decides they cannot do it am I still charged the booking commission?

A. Yes - both companies will be charged. However, provided you contact us with the credit form (NEEDS DOING) about the invoice, we may credit you for this job, provided appropriate information is given, you can re-enter the job on the website and it may be accepted by another company.

Q. Once two companies are introduced one offering the work the other accepting, what are the payment terms between them?

A. As a website introducing the two companies we will not get involved in this aspect of the transaction. You may complain if you are unhappy with the service provided to you by the company. In addition you can exclude them from being able to see your work or you seeing theirs again so that you can effectively stop using them. We will not get involved in individual disputes but persistent complainants about a company may result in their being removed from the system until they provide written undertakings to change practices.

Misuse of the system

* What constitutes misuse of the system?
* What do we do if we feel another company is misusing the system?

* You don't wish to deal with companies because they have defaulted on payment, misrepresented.
* What if someone gains access to my user name and password and accepts work for us

Q. What constitutes misuse of the system?

A. Please note that we have no objection to your continued use of companies once we have supplied the initial contact. However we would strongly encourage you to use the system as it will streamline the process and introduce alternative distribution work and companies for your use if you are active on the system. The whole system works best by reducing your time in phoning around for alternatives.

In addition, entry of work, will encourage NEW contacts and thus MORE work on the system, so that you can fill in vital gaps for your spare distribution capacity and gain more profit.

We do however object to deliberate use of the system in ways to avoid commission whilst using the system. Please see our terms an conditions for a full explanation. In brief, misuse would include the following:

* Deliberate acceptance of work on the system which a company doesn't have the capacity and or the intention to distribute or supply work for.

* Misrepresenting work that they have available or can distribute in either type, quantity or distribution date.

* Misrepresenting distribution capacity that they have in areas, for specified dates and or non inclusion of exceptions (i.e. not with other specified company types) or numbers of other items that they are distributing with.

* Misrepresenting your company details in order to appear to be a DMA member when you are not or to avoid correct invoicing or contacting of you on the system.

* Attempts to contact companies directly for further work by entering single jobs on the system.

* Entering messages to identify themselves on the system in order to avoid commission.

* Entering postcodes under their account for distribution areas that they have no intention or capacity for distributing in.

* Entering false amounts under postcodes or numbers of leaflets to distribute in order to make contact whilst reducing commission due.

Where we find such cases we may terminate or disable accounts without notice, may take further action and seek written assurances that this will not happen again before accounts are reopened.

If you are approached by a company who has used methods above to contact you or you feel that a company has misrepresented their work or capacity on the system, please use our complaints for and we will investigate the matter further.

Q. What do we do if we feel another company is misusing the system?

A. Misuse of the system is inconvenient for all companies involved and also results in administrative work for us. If you feel that someone is misusing the system please bring it to our attention immediately and we will take steps to ensure it doesn't happen again. Requests for credits in such cases will be taken at their individual merits and crediting of accounts is at our discretion. Repeated misuse of the system may result in suspension of the account in question to prevent inconvenience to other users.

Q. What if the company accepting our work does not distribute it properly?

A. As with many business transactions it is important that you carefully read one anothers terms & conditions and take all necessary measures to secure against such an eventuality. However, if the company is a DMA member, the DMA will look into an individual situation and whether a DMA member or not we would ask you to e-mail us with any details so that we can exercise our right, if necessary, to refuse them future access to the website. You can actively exclude non DMA members if you find that you are not happy with service provided by non DMA companies.

Q. What if the distribution material is not fair, legal or honest in its content?

A. Providing written proof can be given from the copy advice team prior to the last booking date a refund of our commission will be given. Payments made to the distribution company are between your two companies and are outside our remit.

A. Then tick next to in company list and let us know about it so that we can take action if necessary.

Q. What if someone gains access to my user name and password and accepts work for us?

A. If you are suspicious that someone has your user name and password you can change your password immediately under your user account details (making sure that your account e-mail addresses are correct firstly to prevent mailing of the incorrect user with your new details!). If you need to change username please contact us as this will involve setting up a new account for you.

If you forget to log out of your system, you will automatically be logged out after 14 minutes of inactivity.

Q. An unauthorised person has gained access without our knowledge and accepted jobs on our behalf.

A. Provided you change your password and notify us immediately we will credit any commission on work accepted. Repeated abuse without notification may lead to closure of the account until we receive assurances that passwords are kept securely.


Q. What if an unauthorised member of staff accepts work.

A. We cannot take responsibility for unauthorised use by the wrong member of your staff. Only staff members who are trained in the use of the system and fully understand the financial and legal implications of using the site should use it. There are safeguards in place for allowing you to change your mind if you make mistakes if you act immediately.
